Captures Academic Context
Current class, target exam, attempt year and previous coaching come back as structured fields your counsellor can prepare from.
Coaching admissions run on a compressed calendar. Enquiry volume spikes after results are announced, after a competitor launches a batch, and after every ad campaign — and the window in which a student is deciding between three institutes is measured in days, not weeks. A lead called on Thursday about a Monday batch has usually already enrolled elsewhere.
The other complication is that there are two decision-makers on most enquiries. The student cares about faculty, batch timing and peer group; the parent cares about fees, results and safety. A single script aimed at whoever picks up performs worse than two scripts aimed at each.
Calling Students and Parents Differently
This is the highest-leverage design decision on a coaching enquiry, and most institutes run one script for both. The two audiences want different information and respond to different framing.
| Topic | With the student | With the parent |
|---|---|---|
| Opening | Which exam and target year | Confirm the enquiry and who it is for |
| Primary concern | Faculty, batch timing, peer group | Fees, results record, safety, distance |
| Proof point | Recent selections, teaching approach | Results data and fee structure clarity |
| Objective | Book a demo lecture | Book a counselling session |
| Tone | Direct and peer-like | Respectful and reassuring |
| Avoid | Discussing fees in detail | Over-promising selection outcomes |
Detect who answered rather than assuming. A script that addresses a parent as if they were the aspirant, or vice versa, loses credibility within the first two sentences.
Working the Admission Season Calendar
Coaching enquiry volume is not evenly distributed, and campaigns that ignore the calendar waste spend at the wrong moments and under-serve the right ones.
- Post-result surges — Board and entrance results produce sharp enquiry spikes. Human floors cannot staff for these; automation absorbs them without a hiring cycle.
- Batch start deadlines — Urgency is genuine here rather than manufactured. A reminder call before a batch fills converts well and is not resented.
- Scholarship test notifications — High-volume, purely informational calls that reliably generate walk-ins and cost very little.
- Dropped enquiries from last cycle — Students who did not join last year but are attempting again. A large, cheap and consistently under-worked segment.
- Demo attended, not enrolled — The highest-intent group you have. A structured follow-up cadence here is worth more than most new lead spend.
- Fee instalment reminders — Ongoing rather than seasonal, and it removes an awkward conversation from your counsellors.
