Captures Variant and Budget
Model, variant, fuel type, budget band and exchange intent come back as structured fields the sales consultant can prepare from.
Books the Slot on the Call
Live showroom availability means the customer leaves with a confirmed date rather than a promise that someone will call back.
Pre-Visit Confirmation Call
A short reminder the day before, with rescheduling offered — the single most effective reduction in no-show walk-ins.
A digital car or bike enquiry is worth a great deal less than a showroom walk-in, and the gap between them is almost entirely a follow-up problem. The customer who filled a form on CarWale at 10pm is genuinely interested; whether they end up at your showroom or a competitor down the road depends largely on who called them first and whether that call ended with a date in the calendar.
Automating the first call closes both gaps. Every enquiry gets contacted within seconds, the practical questions get answered, and the conversation ends with a confirmed test drive slot and a location pin on WhatsApp rather than an intention to visit sometime.
What to Ask on the First Call, and What to Leave to the Consultant
The temptation is to qualify thoroughly on the first call. This costs completions and irritates buyers who have not yet decided they want a relationship with your dealership. Keep the first call short and useful.
- Ask: which model and variant — Determines which consultant should handle it and whether the vehicle is even in stock.
- Ask: when they are looking to buy — A low-friction question that separates this-month buyers from six-month researchers better than any other single question.
- Ask: is there an exchange — Simple yes or no with basic vehicle details. Enough to prepare a valuation, not enough to slow the call.
- Ask: when can they visit — The actual objective. Everything else is secondary to leaving the call with a date.
- Leave: finance structuring — Down payment, tenure and EMI configuration are a consultant conversation, and a wrong number quoted early is hard to walk back.
- Leave: final pricing and discount — The agent should never negotiate. Quoting a discount it cannot honour costs you the deal and the trust.
- Leave: detailed spec comparison — Give a straight answer if asked, but do not run a comparison pitch on the qualification call.
A first call that runs longer than about ninety seconds is usually doing the consultant job badly rather than doing the qualification job well.
Reducing the No-Show Rate on Booked Test Drives
Most dealerships discover their real problem is not booking test drives but converting bookings into actual visits. A booked slot that nobody attends costs a held vehicle, a consultant hour and a slot another buyer could have used.
- Send the location immediately — A WhatsApp pin during the booking call. Showroom addresses given verbally are frequently written down wrong or not at all.
- Confirm the day before by voice — A short call reaches people an SMS does not, and gives them a chance to say no — which is far more useful than silence.
- Make rescheduling easy — Most no-shows are people who could not make it and had no simple way to say so. Offering a new slot recovers a large share of them.
- Ask them to confirm out loud — A verbal yes measurably increases attendance compared with a passive reminder.
- Name the consultant — Telling the customer who to ask for makes the visit concrete and reduces the sense that they are walking into an anonymous showroom.
- Track no-show by source — Portal leads, social leads and walk-in enquiries have very different no-show rates. Knowing which is which changes where you spend.
